How to Compress a PDF for an Online Form or Email

Forms and email often limit PDFs to 100 KB, 200 KB or 1 MB. What makes a PDF large, and how to bring it under the limit while keeping it readable.

Updated October 2026

What makes a PDF large

Text in a PDF takes very little space: a 20-page typed document can be under 100 KB. What makes PDFs large is pictures, especially scans and phone photos of documents, where every page is a full-size photo. A single page photographed on a phone can be 2–4 MB.

So compressing a PDF mostly means making the pictures inside it smaller: fewer pixels and stronger JPG compression, while keeping the text readable.

Pick the right target

Aim slightly under the limit (for example 190 KB for a 200 KB limit), because portals don't always measure size the same way.

  • Under 100 KB: one or two scanned pages, such as a certificate or ID card. Readable, but fine print may soften.
  • Under 200–500 KB: a few scanned pages, comfortably readable.
  • Under 1 MB: longer documents, marksheets and multi-page scans with clear text.

Steps

  1. Open the Compress PDF to N KB page for the limit you need, or Compress PDF to choose the level yourself.
  2. Choose the PDF. It's processed in your browser, so documents like Aadhaar or bank statements aren't uploaded.
  3. Download the result and open it once to check that the smallest text is still readable before you submit it.

When a PDF won't get small enough

  • Too many pages: if only some pages are needed, use Split PDF to keep just those, then compress.
  • Huge photos of pages: crop each photo to the paper before making the PDF, so the background and shadows don't take space.
  • Colour scans of black-and-white text: a scan in grayscale is much smaller and just as readable.
  • Making a PDF from photos: Image to PDF can set a maximum size directly while it builds the PDF.

Scan for a smaller file in the first place

Photograph or scan the document flat, in even light, filling the frame with the page. A sharp, evenly lit page compresses to a much smaller file than a dark, tilted one with shadows, and it stays readable at a lower size.

Frequently asked questions

How do I compress a PDF to 100 KB?
Open the Compress PDF to 100 KB page and choose the file. It reduces the pictures inside until the PDF is under 100 KB, then you download it. Check that the text is still readable.
Why is my PDF still large after compressing?
Usually because it has many scanned pages or very large photos. Keep only the pages you need with Split PDF, or make the PDF again from cropped photos with a size limit.
Does compressing a PDF remove text or pages?
No. Pages and text stay; only the pictures inside are made smaller. Typed text stays sharp, and scanned text becomes slightly softer the smaller the target.
Is it safe to compress Aadhaar or bank PDFs online?
With these tools, yes: the PDF is processed in your browser and never uploaded to a server.
